Mentone Pre School is completely run and adminstered by parents who volunteer their time to create an amazing learning environment for the children. Positions include President, Secretary, Treasurer, Fundraising, Policy, Publicity, Social Media and Maintenance. The Committee consists of President, Vice President, Secretary, Treasurer, Working Bee Coordinator, Quality Officer, Publicity Officer, Social Media Officer, 4 year old enrolments officer, 3 year old enrolments officer, Fundraising and Events Coordinator, Fundraising & Social Representatives and 4 general committee members. Below are the profiles for each role.
Chairs committee meetings, handles day-to-day decisions, liaises with parents, committee members and
staff and mediates where necessary. Responsible for staff recruitment and contracts if required. Delegates most tasks and involves General Committee members if extra assistance is required.
Assists and deputises for the President, undertakes the role of Grant Writer, submitting grants and following through on invoices, quotes and purchases are required. Often involved in sub-committees related to capital works.
Responsible for all incoming and outgoing correspondence, compiling and distributing monthly meeting agendas and meeting minutes. The secretary monitors the committee ‘action’ list, completes Mentone Pre School’s Annual Statement for Dept. of Justice and organises the Annual General Meeting.
Organises banking, keeps monthly financial records and liaises with the external consultant regarding financial status. Follow up any outstanding fee payments, monitor expenses, raise invoices and make payments in combination with the Vice President and President.
Organises tradespeople to repair and maintain kindergarten facilities and obtain quotes where necessary (no manual work required). Coordinates working bee dates and tasks with the teachers and committee (does not need to attend all working bees). Publicises working bees through the Audiri app to keep parents informed. Supported by the General Committee when required.
Reviews and updates policies and procedures of the Preschool when required, as advised by ELAA Policy Works. Liaises with the Nominated Supervisor on all policy changes. Is to report on the Preschool’s Quality Improvement Plan and organises the annual parent survey. Ensures all policies are up to date on the website. Supported by the General Committee when required.
Monitors and updates our website, My Community Life, and Google listing. Organises the Open Day signage in collaboration with Hodges and advertising in the local community. Publishes newsletters via Audiri. Coordinates the Annual Report from committee members. Creates ad hoc promotional material for the committee as required. Supported by the General Committee when required.
Works with the teachers and committee to create content for our social media channels: currently Facebook and Instagram. Works in conjunction with publicity and provides support as required.
Liaises with the City of Kingston’s central enrolment office, communicates with parents regarding enrolments for 4-year-old sessions and finalises enrolments for the coming year and new enrolments through the year if places are available. Updates the website and social media platforms with enrolment information. Organise the Open Day in conjunction with the 3 year old enrolment officer, Fundraising and Events Coordinator and teachers.
Liaises with the City of Kingston’s central enrolment office, communicates with parents regarding enrolments for 3-year-old sessions and finalises enrolments for the coming year and new enrolments through the year if places are available. Updates the website and social media platforms with enrolment information. Organise the Open Day in conjunction with the 3 year old enrolment officer, Fundraising and Events Coordinator and teachers.
Oversees the fundraising and events calendar for the year. Works closely with the teachers and maintenance rep to ensure Pre School events are spread out across the year. Works closely with the teaching staff, enrolment officers and social / fundraising reps to coordinate and manage Open Day and Orientation days.
One parent representative in each group (3YO and 4YO) who work together with the Fundraising and Events Coordinator and General Committee members to organise Fundraising and Social events for the preschool. A perfect example would be the trivia night or a fundraising parents movie night; working together to organise events that creates a social atmosphere while raising funds for the kinder where suitable. The Fundraising and Social reps also manage the whatsapp message groups for each of their year level groups. They coordinate a family meet and greet at the beginning of term one (an example of this is a Saturday morning park play), and various play dates and/or parent night’s out throughout the year.
Helps with the production of monthly newsletters and assists all committee members when required with special tasks and projects. The general committee will help cater at the AGM and purchase Christmas gifts for the teaching staff and the preschool’s neighbours. Works closely with publicity as well as the fundraising and social reps as required. General committee members are separated across 3 areas:
● General committee (executive support): Assists the secretary with the the planning of the AGM and ad hoc tasks
● General committee (events and fundraising): 2 positions - one representative from the 3-year-old program and one representative from the 4-year-old program.
